The Archives and the National Library organized a virtual training course entitled: "Preparation of a Plan for Preserving Documents in Government Entities", and another training workshop entitled: "Inventory of Documents in Government Entities", as part of the continuation of its specialized educational services, and the close follow-up of projects to organize and develop archives of government agencies. In the country, and enabling it to implement the requirements of Law No. 7 of 2008 regarding the National Archives and Library, its amendments and executive regulations, and international standards in the field of document and archive management.
The training course on "Preparing a Document Preservation Plan in Government Entities" aimed at introducing government agencies to what the file preservation plan is, its purpose and how to prepare it.
Archiving expert Ahmed Mujib, who lectured at the session, focused on the importance of reconciling the filing plan with the articles of the executive regulations of Federal Law No. 7 of 2008 regarding the archive, library and national archives. in particular Article 34 and Article 36; It is the means that determines the periods of preservation of documents and files in government agencies in their various stages of life, in offices for current documents, and in halls for storing intermediate documents, and through it it also determines their final fate for destruction or permanent preservation in the archives and the national library.
This session, in which a large number of professionals and interested parties participated, witnessed the presentation of the joint document preservation plan prepared by the Archive and the National Library to determine the retention periods for documents related to the following functions: human resources, financial affairs, legal affairs, institutional information, administrative development, and public relations. Government communication and support services.
The Archives and the National Library also presented a workshop related to the topic "Document Inventory in Governmental Entities", aimed at refining the expertise of archivists and qualifying them to organize the archives of governmental agencies in accordance with the legislation adopted in the country and international standards.
The workshop in which the archiving expert Ahmed Mujib lectured on training the employees of the Amiri Diwan in the Emirate of Ajman on the mechanism of document inventory in various preservation sites and offices, in compliance with the requirements of Law No. 7 of 2008 regarding the National Archives and Library, its amendments and its implementing regulations, in order to identify them and their preservation sites to facilitate access to them If necessary.
The workshop, which was followed up by specialists from the Emiri Diwan employees in the Emirate of Ajman, stressed the importance of identifying expired files for departments, and transferring them for permanent preservation or destroying them in accordance with the requirements of the archives and the National Library.
